National insurance is a tax on your earnings which pays for a range of benefits. You pay it through your employer and it’s deducted from your wages before you get paid. You pay different rates depending on your category letter.
If you have a disability or are unable to travel, you can attend an online telehealth appointment instead. Make sure you have a good internet connection before the appointment.
You’ll get an email
If you’ve submitted your application and proof of identity online, HMRC will send you an email within two working days to offer you a face-to-face appointment. If you need specialist services, such as an interpreter, this may take longer.
You can also choose to apply for a National Insurance number by post. If you do, you’ll need to fill out an official form and submit photocopies of your documents. You’ll also need to make an appointment with a National Insurance representative.
After you’ve submitted your application, you’ll receive an email with your reference number and a message saying whether you need to provide further proof of identity. It can take up to four weeks to get your National Insurance number once you’ve proven your identity.
You can also write to HMRC at this address with all queries, except complaints. Be sure to include a full address and city name when writing, as well as a PO box if you don’t have one. If you don’t, your letter could be returned to you or may not reach the right person. To avoid this, you can always call the National Insurance helpline to speak to a real person. The helpline is available from 8am to 8pm Monday to Friday and 9am to 5pm on Saturday.
You’ll get a letter
When HMRC receives your request for an appointment they will email you to confirm that they have received it. Then they will usually try to offer you an appointment within 2 working days. However, if you need specialist services, such as British Sign Language or lip speaker, it may take longer. When you receive the email, make sure you read it carefully and only provide information that is requested. If you do not provide all the required information, your application may be rejected.
HMRC will then arrange a face-to-face interview with you (sometimes called an evidence of identity interview). This will be one-to-one unless an interpreter is needed. The interviewer will ask you questions to check your identity and will see copies of your passport and other official documents. They will also write down your NI number, which they will send to you in a letter. You will need this number to claim benefits and pay tax.
If you’re not happy with the service you’ve received, write a follow-up letter to the department. Keep in mind that you should maintain a cordial business communication tone. Also, keep a record of whom you speak with and any correspondence. This will help you in the future if your issue isn’t resolved.
You’ll get a phone call
You can use this service to check whether you have paid enough National Insurance contributions to qualify for certain benefits and pensions. You can also find out if you have gaps in your record that need to be filled. This service is free and open from 08:00 to 21:00 Monday to Friday (closed on Bank Holidays). You can also get help from this website in Welsh (Cymraeg). If you’re calling about something confidential, make sure your personal details are up to date in your tax account or you could fail telephone security.
If you haven’t already done so, you can apply for a National Insurance number by visiting an HMRC office or using their online service. You’ll need to bring proof of your identity, such as a passport, driving licence or birth certificate. You’ll then be interviewed by an inland revenue employee who will ask you questions about your background and circumstances. The interviewer may also want to see your official documents, such as your national identity card or residence permit. You will then be given a letter with your NINO, which you should keep as a record. HMRC will write to you again to let you know if your application was successful.
Companies can now approve or decline applicant appointments in the DFS Portal Original Appointment System and through the National Insurance Producer Registry (NIPR). They can also cancel their appointed licensees.
